Step 3 of 10

Air Quality

Do you have a no smoking policy indoors and within 20 feet of doors, windows, and air intakes?

Do you enforce all local motor vehicle no-idling ordinances, or in the absence of an ordinance restrict idling to less than ten minutes? (Except in the case of extreme weather conditions if required)

Do you provide at least yearly training for employees regarding no-idling procedures and enforcement of such procedures?

Do you have procedures in place to prevent exhibits from blocking air exchanges and airflow?

Do you restrict use of all motorized equipment and vehicles powered by combustion engines anywhere inside the facility at any time with the exception of in garages, loading docks, and in the load in or out of vehicles used for exhibit display purposes, or in case of emergency?

Can you provide empirically verifiable documentation to support environmental claims if requested?

Do you communicate your sustainability policy, objectives, and performance criteria to stakeholders, staff and attendees, encouraging support by reporting deficiencies observed during the event?

Do your standard operating procedures include feedback opportunities for Planners, supply chain representatives customers and employees, and that feedback and its collection procedures available for review?

Do you partner with community or nonprofit organizations to reuse or repurpose reusable surplus materials including supplies, giveaways & shipping materials that cannot be used otherwise internally?

Energy

Do you have a 12-month energy performance baseline in place that is tracked and records the energy usage setup using an internal system or a third party system?

Do you have a written energy reduction plan that incorporating goals and results that can be shared with the Planner?

Do you insure a reduced light protocol of 50% is implemented during move-in/move-out?

Do you insure reduced HVAC during move-in/move-out?

Do you insure limited escalator operation during move-in/move-out?

Have you developed an energy reduction plan that establishes objectives and numeric reduction targets based on the results of energy assessments or audit?

Do you have an annual record that tracks carbon emissions associated with the total energy use using available online tools or through a professional assessment?

What percentage have you been able to achieve in reduction in weather-normalized source energy use intensity over the established baseline?

Do you have a “power down” policy established between hours that requires exhibitors and production teams that requires additional rent be paid if 24hour power is required?

Do you have energy efficiency procedures in place for administrative offices, such as power down and lighting sensors?

Is your office equipment Energy Star, EPEAT rated, total cost ownership TCO certified, or a local equivalent?

Do you have an annual record that tracks carbon emissions associated with operations in addition to total energy use using available online tools or through a professional assessment?

Is your exterior and landscape lighting energy saving? (i.e. LED or solar powered)

Do you use sub-meters on your HVAC systems, indoor lighting, outdoor lighting or both, to track energy usage?

Do you have “occupancy based intelligence” programs in place that enable energy usage to be adjusted according to the building occupancy?

Do you have an onsite renewable energy source that provides 3% of energy used or do you purchase 25% of your energy from renewable sources?

Have you had a certified ASHRAE energy audit or conduct building commissioning?

Procurement

Do you have a procurement criteria policy for purchasing environmentally preferable products with consider price, quality, environmental impact, & ethics of the vendors?

Do you have a 12 month baseline of percentage of purchases made in accordance with the purchasing policy above?

What percentage of your purchases are environmentally preferable products?

Do no less than 30% of your office supplies purchased contain 20% or greater post-consumer or recycled product or both?

Do you communicate at least annually the contents and updates of your sustainable procurement policy to current vendors and encourage them to adopt the venues procurement policy?

Do you have an annual inventory of products containing VOCs, HAPs, heavy metals, materials certified as toxic, known carcinogens, and other hazardous substances in order to plan and reduction of these materials when feasible?

Do you purchase products that eliminate or reduce VOCs, HAPs, heavy metals, materials certified as toxic, known carcinogens, and other hazardous substances?

Do you purchase products from regional vendors when practical and available?

Staff Management Policy

Do you have a written environmental policy in place available for stakeholder review that includes vision, objectives, and goals for sustainability that encompass staff management policy, communications, waste management, energy, air quality, procurement policy, and community partners?

If yes do you have a support of the general manager or executives indicated in a signed statement?

If yes do you have a staff member or members designated to implement the sustainability policy?

Do you collaborate with Planners to set defined environmental performance goals per each specific event and provide the Planner with post event reports of the environmental achievements relative to the stated goals?

What percentages do you hire, recruit or both from local labor sources when you need additional staff?

Does your Sustainability Manager or Operations Manager assess the staff’s implementation of the practices laid out in the sustainability policy and provide a written report of the process followed to perform the assessment?

Have you achieved third party certification in support of environmental claims? (LEED etc)

Waste Management

Do you have a 12-month waste diversion and disposal baseline?

Do you conduct waste audits semi-annually to identify waste streams and develop a plan for waste reduction and increased diversion?

What is your minimum diversion rate over the course of a year inclusive of hazardous waste disposal, recycling and other methods of diversion?

What is your minimum diversion rate per event inclusive of hazardous waste disposal, recycling and other methods of diversion?

Do you have clearly labeled recycling bins next to each trash bin with either recyclable bags or reusable containers, or a waste sorting program back-of- house?

Do you either collect compostable materials or accommodate a composting program within 250 miles if requested by the planner?

Do you recycle electronic equipment (listed below) with a company registered with a certified or a certified organization that conforms to international laws regarding e-waste and does not export e-waste for dumping? (Computers and peripherals, printer cartridges, cellular phones and PDA’s, appliances and cameras)

Do you calculate and report to the planner within 30 days of the event end the event-specific waste diversion rates?

Do you have a tracking system to allow for differentiation and attribution of waste for individual events when multiple events are being held at the same facility?

Do you have a baseline of water usage with one to three years of historical data?

Do you maintain a plan with annual water reduction objectives & reduction metrics that can be shared with Stakeholders?

Do you have a snow and ice removal policy that limits the applications of de-icers and salts?

Do you have documentation of an annual normalized reduction of water use intensity over the established baseline?
